Registration

Early bird registration before April 1st, 2025: 

1. All participants should complete a registration form through the registration/abstract submission portal on this event website. When you complete an order, you will receive an 'order received e-mail' with full instructions on how to proceed with your registration and a copy of the order in PDF.
2. If you are applying for the financial support through FEBS YTF Award or AARS bursary programs, upload a single PDF file containing all supporting documents for your application. For details on the application for financial support, please consult the appropriate sections of the website. 
3. Submit your abstract via the 'My abstract' tab in the registration/abstract portal. Abstract submission is recommended but optional for regular meeting participants, and it is mandatory if you are applying for the FEBS YTF Award or AARS bursary. See the Abstract section of the website for more details. During the abstract submission process, please indicate if you would like to be considered for an oral presentation.

If you are not the author or co-author of any submitted abstract, please upload a short note about you and your reasons for attending the conference, as a supporting document during the registration process. 

Participants will be notified of the acceptance of their registration application by May 1st, 2025. Accepted participants must pay the relevant registration fee (see the table below) by June 1st, 2025. More details on registration fee payment will be included in your acceptance notification; key points are also given in the terms and conditions. 

Late registration before August 15th, 2025. 

Space permitting, registrations will remain open until August 15th, 2025. To register late, please follow the same procedure as listed for the early bird registration. Any abstracts submitted after April 1st will not be considered for oral presentations. Please note that special fees apply for late registration (see the table below). 

The participants will be notified about registration acceptance by August 18th, 2025. Accepted participants must then pay the relevant registration fee as set out in the table below, by September 1st, 2025. More details on registration fee payment will be included in your outcome notification, and key points are also given in the terms and conditions. 

Terms and Conditions

Methods of Payment 

Payments can be made by bank transfer. Payment details will be included in your confirmatory notification email.  

Bank charges are the responsibility of the participant and should be paid at the source. Your Name, Surname and Order ID must be indicated on the transaction receipt of the bank transfer. 

Following payment, a transaction receipt MUST BE SENT via email to both info@aars2025.febsevents.org and tatjana@filidatravel.hr. Proof of payment must be received before the stated deadline.  

A Registrants will receive a confirmation of registration email when organizers have received both the online registration information and payment.  If you do not receive confirmation within five business days after sending your proof of payment, please contact info@aars2025.febsevents.org.  

Registration cancellation & refund policy 

All registration cancellation requests should be sent to info@aars2025.febsevents.org in writing. For cancellation requests received before June 1st 2025, the full payment, minus any incurred bank charges, will be refunded. For cancellation requests received on or after June 1st 2025, no refunds will be made. No cash refunds will be made for credit card payments in the case of cancellation. 

Travel insurance 

You should seek and follow the advice of your government before booking travel and travelling to the event. You are solely responsible for making your own appropriate travel and other insurance arrangements. The Course Organizers and FEBS shall not be liable for any losses incurred. 

Modification and cancellation of the event 

The Course Organizers intend to run the event as a physical meeting, but if they decide at any time that it is not possible to continue with a physical event due to unforeseen circumstances, the event may be postponed or held as an online meeting. The Course Organizers will give as much advance notice as possible if such changes are necessary. The Course Organizers reserve the right to modify the Course programme, whether physical or online as needed. 

Should the event be cancelled or the format changed to that of a remote meeting, the Course Organizers will endeavour to reimburse as much of the registration fee as possible. In both cases, reimbursements will depend on the timing of the cancellation/modification, the nature of the modification, and organizational costs. The Organizers may cancel the event because of circumstances outside of their reasonable control, including (but not limited to) pandemic, natural disaster, adverse weather conditions, fire, or closure of airports. 

Neither FEBS nor the Course Organizers shall be held liable for any other costs or losses incurred. 

Disclaimer 

The Course organizers will take all reasonable care in making arrangements and shall in no event be liable for acts or omissions in the event of injury, damage, loss, accident, delay or irregularity of any kind whatsoever during arrangements organized through contractors. Hotel and transportation services are subject to the terms and conditions under which they are offered to the general public. 

In the absence of any negligence or other breach of duty by the Course Organizers or FEBS, these parties shall not be responsible for any bodily injury, illness, death, or property damages (including theft) sustained by participants during the event. 

In any event, neither the Course Organizers nor FEBS accept liability for damages or costs in the event of bodily injury, death, property damage, illness, disruption to travel plans and costs incurred as a result of events outside of their reasonable control, including (but not limited to) pandemic, natural disaster, adverse weather conditions, fire or closure of airports. 

Governing law 

Any dispute resulting from the above terms and conditions will be subject to Croatian law, and by accepting these terms you are submitting yourself to the exclusive jurisdiction of the courts of the Republic of Croatia.
